Terms and conditions
The agreement between RentPod and the property managers and landlords who use it, written in plain English. Last updated 14 October 2026.
1. About these terms
These terms apply when you or your organisation use RentPod, the property operations platform at this website and its web and mobile apps ("RentPod", "we", "us"). By creating an account or using RentPod you agree to them on behalf of yourself and the organisation you sign up for.
If you sign an Enterprise offer with us, that offer applies too. Where it differs from these terms, the signed offer wins.
2. Your account and your team
You must give accurate details when you sign up and keep them up to date. You are responsible for everything done under your organisation's account, including by staff you invite. Keep your password and authenticator app safe, and tell us straight away if you think someone has got into your account.
You decide who in your team can see and do what. Remove people's access when they leave. Tenants do not need a RentPod account to deal with you.
3. Plans, prices and payment
Our current plans and prices are on the pricing page. Prices are in Kenya shillings. Plans are priced by the number of units you manage; choose the plan that covers your portfolio and move up when you grow. Enterprise is priced individually in a written offer.
You pay in advance for the period you choose: 1, 3 or 6 months at the monthly price, or a year at the yearly price. Payment is by M-Pesa; Enterprise plans can also be paid by bank transfer or cheque. Your plan starts once the payment is confirmed, and we email a receipt. Paying again before a period ends extends it from the end date.
We may change our prices. A change never affects a period you have already paid for; it applies from your next payment, and we will show you the new price before you pay.
Promo codes are subject to the conditions shown with them and cannot be exchanged for cash.
4. Cancelling and lapsed plans
You can cancel at any time. Your plan runs to the end of the period you paid for and is not renewed. Payments already made are not refunded, except where the law requires it or we agree otherwise in writing.
If your plan ends and you do not renew, RentPod pauses. We do not delete your records because a plan has lapsed; renew and you pick up where you left off. If you want your organisation's data deleted, ask us at the address below.
5. Ren, our AI assistant, and Ren credits
Ren reads, sorts and summarises information in your account, flags patterns and drafts replies. Ren can be wrong. It does a first pass; you and your team stay responsible for the decisions you make and the messages you send. You choose which Ren tasks are switched on, and every Ren run is logged in your account.
Ren uses credits. Your plan includes a monthly allowance that renews each period and does not carry over. Credits you buy as top-up packs do not expire. Credits have no cash value and cannot be transferred to another organisation.
6. Your data and your tenants' data
Your records stay yours. We use them only to run RentPod for you, to support you when you ask, and to keep the service secure and working. Each organisation's data is kept separate from every other organisation's.
When you put your tenants', landlords', staff or vendors' personal details into RentPod, you decide why and how they are used, and we handle them on your behalf. You confirm that you have a lawful basis under the Data Protection Act, 2019 to collect them and to contact people through RentPod (for example by SMS or WhatsApp), and that you will honour requests people make about their own data.
We use trusted providers to host RentPod and to run Ren. Some of them process data outside Kenya. We only share what is needed for them to provide their service to us.
7. M-Pesa, WhatsApp and other connected services
Some modules connect RentPod to your own accounts with other providers, such as M-Pesa, Africa's Talking, WhatsApp and QuickBooks Online. Those providers' own terms and charges apply to your accounts with them. We are not responsible for their services being unavailable, or for charges they make to you.
8. Using RentPod fairly
Use RentPod only for lawful property management. Do not use it to send spam or harassing messages, to store information you have no right to hold, to try to reach another organisation's data, or to disrupt, copy or reverse-engineer the service. We may suspend an account that does, and will tell you why unless the law stops us.
9. Availability and changes to RentPod
We work hard to keep RentPod available and your data safe, but we cannot promise the service will never be interrupted. We improve RentPod continually and may change or retire features; if we remove something that is central to the plan you paid for, we will tell you in advance.
10. Our responsibility to you
RentPod helps you run your properties; it does not replace professional accounting, tax or legal advice. Check tax figures and statements before you file or send them.
To the extent the law allows, we are not liable for indirect losses such as lost rent or lost profit, and our total liability to you in any 12 months is limited to what you paid us in those 12 months. Nothing in these terms limits liability that cannot be limited under Kenyan law.
11. Changes to these terms, and Kenyan law
We may update these terms. We will show the date of the latest version on this page and, for significant changes, tell you by email or in the app before they take effect.
These terms are governed by the laws of Kenya. If we have a disagreement, we will first try to settle it by talking. If we cannot, the courts of Kenya will decide it.
